D.W. Cary Hauling, Inc. is seeking a full-time Accounts Receivable / Office Assistant to manage customer billing functions for our trucking and hauling operations. This role is responsible for accurate and timely invoicing, tracking payments, resolving billing discrepancies, and supporting positive customer relationships. The ideal candidate is organized, proactive, dependable, and able to work both independently and as part of a team.

The Accounts Receivable / Office Assistant plays a key role in maintaining accurate billing and receivable records while supporting general office operations. This position works closely with management, the bookkeeper, and CPA to ensure efficient month-end billing and reconciliation. Additional responsibilities include assisting with quotes and performing general office duties such as answering phones and greeting customers.

 

Key Responsibilities

Billing & Invoicing:

  • Prepare and issue customer invoices for trucking and hauling services
  • Verify tickets, time sheets, scale tickets, and job documentation for accuracy
  • Ensure invoices align with quoted rates, contracts, and customer agreements
  • Capture and bill additional charges such as wait time, extra loads, and disposal fees

 

Accounts Receivable:

  • Track outstanding invoices and customer balances
  • Generate aging and receivable reports for management review
  • Follow up on past-due accounts in a professional and customer-focused manner
  • Post and apply customer payments accurately
  • Maintain organized, accurate, and up-to-date billing and receivable records
  • Process Applications for Credit

 

Accounting & Office Support:

  • Assist with month-end billing and reconciliation
  • Work with the bookkeeper and CPA as needed
  • Support general office operations, including answering phones and greeting customers
  • Assist with quotes and other administrative tasks as required

 

Qualifications:

  • Minimum of 2 years of relevant experience
  • Excellent written and verbal communication skills
  • Previous experience in billing, accounts receivable, and accounting support
  • Proficiency in Microsoft Excel, Outlook, and Word
  • Ability to manage multiple customers and priorities effectively
  • Proficiency with billing or accounting software (QuickBooks preferred)
  • Experience in trucking, construction, or logistics required
  • Proactive, detail-oriented team player with strong organizational and critical thinking skills
  • Ability to work independently with minimal supervision
